Best Practices Installation Consultation
This is a series of phone meetings to install the software prior to training. During this Best Practices Installation (BPI) process, a dedicated BPI Engineer will assist you through the setup of your Prophet Server System. We are determined to make your implementation as smooth as possible for your company.
Installation Kickoff Call – During this stage, you will meet with your dedicated BPI Engineer and will be familiarized with the BPI process. We will discuss your existing network configuration and how contact and sales data are currently stored. Then, we will go over system requirements and any other issues or concerns you may have prior to installation.
Analysis and Planning of System Implementation – Your BPI Engineer will provide you with suggestions on the best implementation plan for your Prophet system. This plan will be tailored to your specific business needs.
Exchange/SharePoint (if applicable) and Outlook Prepping – During this stage, we will discuss in detail your exchange setup and public folders.
Server and Client Installation
Your BPI Engineer will assist you with installing the Prophet server and all clients. We want to ensure that all machines are up and running prior to training. Time needed for this step will vary based on your environment.
Prophet Best Practices Installation Review
This occurs 2-4 weeks after installation is finished. Your BPI Engineer will discuss with you any remaining questions or concerns about the system from an installation standpoint. Also, this helps us discover if any significant technical changes have been made to the requirements of the CRM, as well as any outstanding technical issues with the installation.
Prophet Administrative Training Sessions 1 & 2
Once your implementation is complete, you will be handed off to our training staff for your administrative training series. These meetings are meant for the Prophet administrator(s) and/or decision makers as we will be customizing the software with you based on your business and end goals.
Additionally, we will cover any questions you have (whether Prophet or Outlook related) and will discuss the format for your user training series. We will then build the user training around your sales process so that we are training your team on exactly what they will do and how they will use Prophet on a day-to-day basis.
Basic User Training 1 & 2
These sessions will first cover the basics as a way to introduce the software to your team, and we will slowly teach the group additional features. Our initial focus will be on the process and features decided upon at the end of the administrative series. Also covered are fundamentals such as:
- General overview of Prophet Folders
- Prophet Dashboard
- How to use Contact Manager for managing your Contacts and Companies
- How to Manage your Opportunities
Intermediate User Training 3 & 4
These classes are designed to re-enforce the fundamentals covered in the basic user training – as well as introduce other features in the software such as:
- Sending Group Emails
- Send mail merged emails (in Prophet Ultimate versions)
- How to run reports
- Sales Automation
Your Own Training Groups
It is our recommendation that you cap each group training session to around 5 team members per training as we’ve had the most success when capping the meeting to a smaller groups. This helps keep the discussion focused, and your users’ questions can be heard properly. Furthermore, we require that your users train in front of their computers with their own copy of Prophet installed to allows them to follow along with the instructor.
It is our priority to get you and your users into training sessions as quickly as possible. The sooner you are scheduled into classes, the sooner your users can adopt the software. The key is to leverage momentum of your adoption; we can get you into trainings in a matter of days based on your users’ schedule.

Approximately every 3 months we will call you proactively to check on how you are doing. Our aim is to ensure that your users have adopted the software, uncover any potential set-backs, resolve any issues, and make sure you get the most with Prophet.
Prophet Template Configuration Assistance
This service is designed to assist you in filling out the Prophet Configuration template with the field names and field types you require. We will work with you live on your own Prophet systems to accomplish this.
Customized Training to fit business process
We work with you and your teams to understand your basic business process – make any necessary tweaks, and then apply that process as best as possible to the software. Our goal is to create a repeatable and effective process in the Prophet CRM that your team can easily follow.
Advanced: Sales Automation Training
An entire class devoted to harnessing the power of Sales Automation within Prophet. We work with you in understanding how it works, and how to configure it within Prophet, and answer questions you have about using it.
Advanced: Workflow Implementation
An entire class devoted to effectively driving sales using our Workflow feature. We work with you in understanding how it works, and how to configure it within Prophet, and answer questions you have regarding the software.
Our dedicated Installation Engineer travels to the location of your choice to work with you and your IT resources to install the software. The face to face interaction, coupled with a firsthand look at your technical infrastructure allows us to better understand your needs.
Our dedicated Corporate Trainer meets with you and your team of users for an unparalleled training experience. We create a live classroom environment where users can interact with our corporate trainer, ask questions, work through examples, and achieve a better understanding of how the software operates.
We will assist you with your exported data out from your incumbent contact management system and help you import it into Outlook and/or Prophet. We realize that every data import situation is different, so we can suggest and utilize various methods of getting your data ported over.
Advanced Pipeline Management
Leveraging our expertise and experience with thousands of other clients over the years – we can work with you and your team on creating an effective process to manage your Opportunity Pipeline. This includes filtering and sorting your opportunity views in ways that increase productivity and creating an easy process to manage the different stages of your opportunities.
