Hosted CRM solutions, which are sometimes called "on demand CRM" services, are ideal for small to medium businesses. While they are less customizable than in house CRM programs, they are also more affordable and easier to implement. The company that is not already using an integrated CRM program will find hosted CRM a great way to get started.
Because hosted CRM services do not require a huge amount of money upfront, but rather are paid on a monthly basis, they are easier to work into a tight business budget. Nucleus Research recently performed a study on companies using hosted CRM, and the study showed that more than 80 percent of respondents felt they had a positive return on investment from their CRM program.
Benefits of Hosted CRM
The most obvious benefit of Hosted CRM solutions for the small to medium sized business is the excellent return on investment. The increased revenue that comes from better targeted marketing and an informed sales force typically outweighs the monthly expense for this service. However, this is not the only benefit.
In order to set up in house CRM software, extensive work with the IT department is required. Many small businesses do not have a dedicated IT department, and outsourcing this help is incredibly time consuming and expensive. With hosted CRM, business owners can have CRM solutions in place almost instantly, with built in IT support when needed. This makes integration much simpler, meaning that the business can see benefits almost instantly.
Also, the price is much more affordable for hosted CRM when compared to integrated, in house programming. Again, for small to medium businesses with a limited budget, this is simply more doable. Along the same lines, hosted CRM rarely requires new hardware, unless a business's existing computers are too old to support the programming. This is another feature that cuts down on the cost of integrating a CRM program. Hosted programming also requires little in house manpower, which cuts down on payroll expenses, freeing the business's employees to work on income producing activities.
Security is less of a concern with hosted CRM as well. Because the host vendor is responsible for security, mistakes on the part of the business owner are less likely to compromise secure information. With on site CRM, it takes just one mistake on the part of an employee to leave sensitive information accessible, but with hosted CRM, the host company is responsible for security. Because their reputation with all of their customers depends on this security, it is far more likely that they will keep things secure.
Finally, upgrades, when they are needed, are much easier with hosted CRM than on site solutions. Product upgrades occur almost instantly, with little if any downtime to the system. For some businesses, these upgrades will happen without them even knowing. This means that new versions are instantly available, and any improvements can be used as soon as they are made available to the public.
Downsides to Hosted CRM
Hosted CRM solutions are not perfect. Most larger businesses do not like them because they cannot be customized to the extent that in house programming can be. When you use hosted CRM, you must use the programming as it is designed, with few modifications. For some businesses with intricate networks, this can make it difficult to integrate the hosted CRM programming into the existing infrastructure.
Also, if there is a problem with the host's computers, the business has little control over it. While this is rare, since these companies are in the business of hosting and have plenty of backup plans, it can happen. Some businesses prefer to have control over potential problems.
While these potential downsides are something to consider, the vast majority of small to medium business owners, and some large business owners as well, find that hosted CRM solutions are simply more cost effective when they are starting out in the world of CRM software. The ease of implementation coupled with the lower upfront cost and excellent security make this an ideal way for any business to start benefiting from customer relationship management programming, no matter what the business's marketing budget may be.
